Below are sample wedding packages, based on the understanding that all customer needs are different. As your Event Planners, we will do everything it takes to ensure all expectations are exceeded.

Full Package

  • Unlimited face to face meetings, phone and e-mail communication/advice for client
  • Recommend venues and vendors in accordance with event budget and style
  • Set up and manage guest accommodations for out-of-town guests
  • Negotiate all contracts on clients behalf to ensure best possible pricing
  • Budget Maintenance and payment coordination if required
  • Schedule and book all guest and family transportation to/from ceremony and reception
  • Book and attend all menu tastings to ensure culinary excellence
  • Provide wedding checklist
  • Ensure all permits, licenses and insurances are submitted to venue as necessary
  • Design layout and wording of menu cards and place cards if needed
  • Manage all aspects of Vendor Relations — Hair & Makeup, Save the Dates, Invitations, Photographer, Entertainment, Lighting & Sound and everything else needed to make your day come to life
  • Create detailed wedding day timeline to be used by venue and all vendors
  • Meet with all vendors 10-14 days prior to event to re-confirm all details
    • Meet at venue to discuss and finalize floor plan, menu and rain plan
    • Meet with Florist/Decorator to review plan and design for wedding and reception
    • Meet with caterer and bar beverage service to finalize plans
    • Submit and confirm any changes to official timeline with all vendors and re-send final internal timeline 2 business days prior to wedding
  • Coordinate and Deliver any Gift Bags with Hotels if required (More than 10 will incur an additional cost)
  • Phillipa will attend Ceremony Rehearsal and will:
    • Direct rehearsal flow, advise, coordinate and suggest ceremony details
    • Confirm who will be responsible for rings and other ceremony duties
    • Provide detailed schedule to all members of the wedding party as needed
  • Comprehensive Day-Of coordination
  • Phillipa will arrive 6 hours prior to Wedding Start time (earlier if needed) and stay through conclusion of the event
  • Additional Events by Phillipa Wedding professionals will arrive 3 hours prior to event and stay through event end (max 9 hours), number of coordinates based on number of guests and complexity of event
  • Direct all aspects of the day
  • Ensure vendors have arrived on time and handle any last minute changes
  • Vendor assistance and direction with load-in and break down
  • Meet with Venue Operations Team to ensure all expectations and timeline needs are communicated
  • Meet with DJ to review timeline and pronunciations etc.
  • Set-up items: toasting glasses, cake cutter, guest book, place cards, photo’s, etc.
  • Ensure décor is set according to plan
  • Direct family and bridal party for formal photographs to maximize photographer time
  • Work with venue to ensure a smooth transition between ceremony, cocktail hour & reception
  • Ensure bridal party runs on schedule and assist with an on-time start
  • Orchestrate ceremony line-up and introduction of couple into reception
  • Work with DJ throughout event to ensure timeline is followed and any changes are communicated effectively to all impacted parties
  • Assist florist with pinning flowers on family and attendants, distribute bouquets and oversee all other floral placements
  • Distribute any remaining payments or gratuities to vendors as needed
  • Box up all remaining cake, prepare to go meal if needed, and distribute favors to guests.
  • Help load gifts, personal items and keepsake items into designated vehicles and to assigned persons

Half Way There- 6 months out

  • Unlimited face to face meetings, phone and e-mail communication/advice for client
  • Budget Maintenance and payment coordination if required
  • Assess where you are in the planning process then create a custom planning timeline and guide you every step of the way. Including check-in emails and reminders
  • Review Vendors selected for services, review services included by each and meet with any vendors as necessary
  • Review Venue selected and discuss floor plan, rain plan and layout as well as meet with venue contact for comprehensive walk through
  • Review items included in Venue contract
  • Advise client of additional services needed/recommended, such as tenting, security, lighting, beverage, entertainment, etc. (Essentially Fill in any of the blanks)
  • Provide client with vendor recommendations on any missing items and negotiate best possible pricing for any additions
  • Provide revised task list after meeting initial meeting
  • Provide revised budget and payment worksheet after meeting if required
  • Provide wedding checklist
  • Ensure all permits, licenses and insurances are submitted to venue as necessary
