Below is a sample package of services for Birthdays or Mitzvahs, based on the understanding that all customer needs are different. As your Event Planners, we will do everything it takes to ensure all expectations are exceeded.

Full Package

  • Unlimited face to face meetings, phone and e-mail communication/advice for client
  • Initial Meeting to understand the vision and get to know each other
  • Recommend venues and vendors in accordance with event budget and style
  • Set up and manage guest accommodations for out-of-town guests
  • Review and negotiate all contracts to ensure best possible pricing
  • Budget Maintenance and payment coordination if required
  • Schedule and book all guest and family transportation to/from ceremony and reception
  • Create a custom planning timeline and guide you every step of the way. Including check-in emails and reminders
  • Book and attend all menu tastings to ensure culinary excellence
  • Ensure all permits, licenses and insurances are submitted to venue as necessary
  • Design layout and wording of menu cards and place cards if needed
  • Manage all aspects of Vendor Relations
  • Create detailed timeline that gets sent to all the vendors 10 days prior to event day and reconfirm at least 2 times
  • Meet with all vendors 10-14 days prior to event to re-confirm all details
    • Meet at venue to discuss and finalize floor plan, menu and rain plan
    • Meet with Florist/Decorator to review plan and design for event
    • Meet with caterer and bar beverage service to finalize plans
  • Submit and confirm any changes to official timeline with all vendors and re-send final internal timeline 2 business days prior to event
  • Coordinate and Deliver any Gift Bags with Hotels if required
  • Comprehensive Day-Of coordination
  • Direct all aspects of the day
  • Ensure vendors have arrived on time and handle any last minute changes
  • Vendor assistance and direction with load-in and break down
  • Meet with Venue Operations Team working actual event to ensure all expectations and timeline needs are communicated
  • Meet with DJ to review timeline and pronunciations etc.
  • Set-up any client provided items
  • Work with DJ throughout event to ensure timeline is followed and any changes are communicated effectively to all impacted parties
  • Distribute any remaining payments or gratuities to vendors as needed
  • Help load gifts, personal items and keepsake items into designated vehicles and to assigned persons
  • Follow up any loose ends for 1 week after the event
